The HubSpot Operations Specialist is the operational backbone for all HubSpot-related processes across Nordhealth’s Veterinary and Therapy business units.
They ensure HubSpot remains the single source of truth for go-to-market data and workflows, driving efficiency, consistency, and visibility across Marketing, Sales, and Revenue Operations.
This role combines system ownership, process enablement, and hands-on campaign support to help GTM teams work smarter, faster, and with higher data reliability! 🚀
Your key responsibilities include:
1. System Ownership & Support
Serve as first-line HubSpot support for Sales and Marketing teams across Vet and Therapy.
Manage and triage tickets via the RevOps HubSpot request queue, escalating complex issues as needed.
Maintain data hygiene and property structures, ensuring alignment with naming conventions, deduplication, and correct field dependencies.
Audit user activity and implement guardrails for pipeline discipline, record ownership, and lifecycle consistency.
2. Process & Funnel Management
Review, document, and optimise Therapy funnel configuration, including lead statuses, lifecycle stages, MQL logic, and deal pipelines.
Support Vet funnel visibility by maintaining accurate Enterprise, SMB, and Country-level segmentation.
Coordinate lead scoring and routing improvements to ensure timely assignment and follow-up.
Support closed-lost reason tracking, disqualification logic, and trend reporting for both BUs.
3. Marketing & Campaign Enablement
Build and maintain emails, forms, landing pages, and smart lists for campaign execution.
Support Marketing Managers in creating and scheduling multi-channel workflows (email nurtures, PLG triggers, re-engagement flows).
Standardise UTM and lead source tracking across paid, organic, and referral channels.
Maintain marketing asset libraries and templates to streamline recurring campaign operations.
4. Automation & Data Quality
Design, test, and maintain automation workflows (e.g. lead assignment, notifications, renewal reminders, and commercial change tracking).
Support the migration of existing manual processes (spreadsheets, emails) into HubSpot-based automations.
Partner with RevOps to implement AI-enabled data enrichment and usage-based pricing workflows.
Contribute to HubSpot sandbox testing for upcoming changes before production release.
5. Reporting & Analytics
Maintain and enhance HubSpot dashboards for Therapy and Vet Marketing & Sales teams.
Collaborate with RevOps and BI teams to ensure accurate funnel data in Power BI, validating key metrics (Lead → MQL → Demo → Closed Won).
Support campaign performance tracking, calculating CPL, CPD, and ROI where applicable.
Assist in reconciling HubSpot data with NetSuite and ChartMogul for MRR and revenue insights.
6. Training & Documentation
Develop training materials, Loom videos, and Notion guides for HubSpot users.
Conduct onboarding sessions for new Sales and Marketing hires.
Create and maintain change logs and process documentation for RevOps governance.
What will help you to be successful in this role?
The ideal candidate is a data-driven CRM operations specialist with strong HubSpot expertise and a solid understanding of marketing and sales funnels in a B2B SaaS environment. In addition, our humble wishlist includes:
Analytical and structured, able to translate business processes into clean CRM configurations.
Hands-on, comfortable with workflows, custom properties, and report building.
Collaborative, used to supporting both Marketing and Sales teams.
Curious and proactive, always looking for ways to automate, improve, and standardise.
Ideally, have 2–5 years of experience in CRM or RevOps roles, proficient in HubSpot, and exposure to reporting tools (Power BI, Looker, or similar).
Fluent in English, with a pragmatic and problem-solving mindset.
Strategic & Development Focus
Strengthen HubSpot data literacy: develop skills in Excel, SQL, and Power BI to interpret funnel and campaign data.
Support PLG and mid-market growth in Therapy: improve segmentation, scoring, and lifecycle automation.
Support Enterprise motion in Vet: standardise deal management, reporting, and AI-scribe product workflows.
Participate in RevOps transformation initiatives, including data governance, and unified funnel dashboards.
